Privacy

Your mail belongs to you.

TotalMail is the app for your own mail server. This policy explains what the apps keep on your device, what they send to your server and what happens when you ask the assistant for help.

Overview

The TotalMail apps connect to a TotalMail server that you or your organization run. We do not run that server, we do not have access to your mail, and the apps contain no advertising, behavioral tracking or third-party analytics SDKs.

Information on your device

So the apps work as you expect, they keep this on the device:

  • The address of your TotalMail server.
  • A key for this device, stored in the Keychain. It lets the app sign in without asking for your password again and can be revoked at any time.
  • Your preferences, such as language, grouping of conversations, notifications and the assistant you prefer.
  • An optional Spotlight index with the sender, the subject and the first words of your most recent messages. It stays on the device and is removed when you sign out or turn it off.
  • Attachments only where you choose to save them.

Your mail passwords are never stored in the app. Messages are shown from your server while you use the app.

What goes to your server

Everything the app does with your mail goes to your TotalMail server: signing in, reading and searching messages, moving and marking them, saving drafts and sending. When you sign in, your email and password are sent to your server to obtain the device key, and the app then keeps only that key.

The app also tells your server the name and type of the device and the app version, so that you can see it in the list of your devices in Settings.

Notifications

Notifications are created on the device when the app learns about new mail from your server. They do not pass through Apple's push service or any service of ours.

The assistant

The assistant works only when you ask, on one message or one text, and gives back text that you may use or dismiss.

Your TotalMail's assistant

When you use it, the text of the message or the words you wrote are processed by your server and by the model your administrator connected to it. The suggestion card tells you whether that model is on your own network or on another server. Your administrator decides which model is used and can turn the assistant off for an account.

Apple Intelligence

On the devices that have it, Apple Intelligence writes the suggestion on the device itself.

Your control

  • Sign out of the app to remove the device key and the Spotlight index from the device.
  • Sign out any device from the list of devices in Settings, or from the web page of your TotalMail.
  • Turn off notifications, the unread count on the icon and Spotlight in Settings.
  • Remove the app with the normal controls of your device.

The mail itself stays on your server, under the rules of whoever runs it.

This website uses no cookies and no third-party analytics. It does not ask for any personal information.
